Payments, Cancellations & Refund Policy

Terms for payments, cancellations and refunds if paid features launch.

1. Current status

Orrbbit does not currently process paid subscriptions or paid professional-session bookings. The rules below are prepared for future activation. No paid feature should be launched until the payment, booking, cancellation, refund, tax and support systems described here are operational and tested.

2. Price and payment disclosure

  • The full price, currency, taxes and mandatory fees will be shown before purchase.
  • Subscription term, renewal frequency, trial conditions and cancellation method will be disclosed before confirmation.
  • Professional-session price, duration, date, time zone, cancellation window and provider will be shown before booking.
  • Payment may be processed by Apple, Google or another payment processor under its own terms.
  • Orrbbit will not store full card details unless explicitly disclosed and legally compliant.

3. User cancellation of a paid professional session

Unless mandatory law provides a more favourable remedy:

  • More than 24 hours before start: full refund or one free reschedule.
  • Between 6 and 24 hours before start: 50% refund or one reschedule, subject to professional availability.
  • Less than 6 hours before start: no automatic refund.
  • No-show: no automatic refund.
  • Exceptional circumstances may be reviewed individually, including medical emergency, serious illness, bereavement, natural disaster, significant transport disruption or verified platform failure.

4. Rescheduling

  • One free reschedule is available when requested at least 24 hours before start.
  • The professional must accept the new time.
  • The new session should occur within 30 days of the original booking.
  • A second reschedule or a request within 24 hours may be treated as a cancellation.
  • The change is not confirmed until recorded in Orrbbit.

5. No-shows and lateness

  • A user is a no-show after 15 minutes without agreement or communication.
  • The professional should remain available for at least 15 minutes.
  • A late user is not automatically entitled to an extension or refund.
  • If a professional is more than 15 minutes late, the user may receive the full duration, reschedule or an appropriate partial refund.
  • A professional no-show entitles the user to a full refund or replacement session.

6. Professional cancellation

If the professional cancels, the user may choose a full refund or free rescheduling. The user must not be charged a cancellation fee. Repeated cancellations may lead to reduced visibility, verification review, restriction or suspension.

7. Technical failure

  • Verified Orrbbit platform failure preventing a session: full or partial refund, or free reschedule, depending on service received.
  • Failure caused solely by a user’s device, internet, permissions or failure to follow joining instructions: no automatic refund, but Orrbbit may offer a discretionary resolution.
  • Time-zone or booking-display error caused by Orrbbit: refund or free reschedule.

8. Service not supplied or materially different

A user may request a remedy where the service was not supplied, was materially different from its description, was substantially shortened, involved misrepresented credentials, was unsafe or failed mandatory consumer guarantees. Remedies may include full or partial refund, repeat service, replacement session or another remedy required by law.

9. Change of mind and dissatisfaction

There is no automatic refund solely because a user changes their mind, no longer needs the service, dislikes advice that was provided as described, or does not achieve a preferred outcome. This does not limit rights where the service was misleading, unsafe, defective or not supplied as agreed.

10. Misconduct

A session may be ended for harassment, threats, discrimination, sexual misconduct, fraud, illegal behaviour or serious safety risk. Refund eligibility will depend on who engaged in misconduct and the evidence. A user is not entitled to a refund for a session ended because of their own serious misconduct. Serious professional misconduct may result in a full refund and account action.

11. Refund requests

  • Submit through Orrbbit support with the booking reference, reason, dates, description and evidence.
  • Report service concerns within 7 days where reasonably possible; this does not remove statutory rights.
  • Orrbbit may review booking records, messages, attendance and technical logs.
  • Submitting a request does not guarantee approval.
  • Approved refunds return to the original method where possible.

12. Refund processing times

Orrbbit will authorise approved refunds promptly. The time for funds to appear depends on Apple, Google, the payment processor and the user’s bank. External processing delays are outside Orrbbit’s control.

13. Subscription cancellation

  • Subscriptions may be cancelled at any time through the platform where purchased.
  • Cancellation stops the next renewal and normally leaves access active until the current paid period ends.
  • No automatic pro-rata refund is provided for unused time unless required by law or approved by the applicable store.
  • Users must cancel before the displayed renewal date to avoid the next charge.
  • Deleting an Orrbbit account does not necessarily cancel an Apple or Google subscription.

14. Free trials and promotions

  • Trial length, renewal price and billing frequency will be displayed before activation.
  • Users may cancel before the trial ends to avoid the first charge.
  • Eligibility may be limited to one trial per person, account, device or payment method.
  • Promotional terms may include an expiry date and eligibility criteria that will be disclosed.

15. Duplicate, unauthorised and disputed charges

  • Confirmed duplicate charges will be refunded.
  • Users should report unauthorised charges promptly and may also need to contact the app store, payment provider or bank.
  • Orrbbit may restrict an account during a fraud investigation.
  • Users should contact support before initiating a chargeback where practical.
  • Dishonest chargebacks may result in restriction or recovery action, but legitimate disputes will not attract retaliation.

16. Taxes, currency and fees

The checkout will disclose the price and known mandatory charges. Currency conversion and bank fees may be applied by external providers. Any non-refundable fee must be clearly disclosed before purchase.

17. Consumer rights

Nothing in this Policy excludes, restricts or modifies any consumer guarantee, refund right or legal protection that cannot lawfully be excluded. Where these rules conflict with mandatory law, mandatory law prevails.

18. Payment-screen summary

Cancel more than 24 hours before a session for a full refund or one free reschedule. Cancel between 6 and 24 hours beforehand for a 50% refund or one reschedule, subject to availability. Cancellations within 6 hours and no-shows are not normally refundable. If the professional cancels or does not attend, the user may receive a full refund or free reschedule. Mandatory consumer rights are not affected.

Appendix A - Implementation Requirements Before Launch

  • Signup must require date of birth and an unticked acceptance checkbox for Terms, Privacy and Community Guidelines.
  • The Service must enforce 18+ eligibility on the server, not only in the interface.
  • Report and block functions must be available from profiles and communications.
  • A human-review appeal process must exist for eligible moderation actions.
  • Location permission must be preceded by a clear purpose notice and exact location must not be shown to ordinary users.
  • In-app account deletion and a public web deletion route must both function.
  • Professional credentials must be access-controlled, expire correctly and never be publicly exposed.
  • Privacy export, marketing opt-out and notification controls must work.
  • Payments Policy must remain marked “not currently active” until payments and booking operations are complete.
  • Support and safety response targets must be staffed and monitored before publication.
  • All legal pages must be publicly accessible, mobile responsive and linked from the app and website.
  • The app-store privacy disclosures and Google Play Data Safety form must match actual product behaviour.
